Tab Manager

Our tab management feature is a powerful way to stay focused while you work. It's like having a clean desk for each of your projects.

When you add the Tab Manager extension to your browser, workspaces essentially become a dedicated browser window for every project. Workspaces constantly autosave your work and keep your work in the browser tidy, no matter how many projects you’re juggling.


How tab management works

  • After installing the Tab Manager extension, you can start organizing your tabs into workspaces. This allows you to separate your tabs by project to help you feel more focused and less stressed.
  • Simply create a workspace for each project, then move any related tabs into each workspace. You can think of workspaces as saved browser windows with names.
  • Your browser will show only the browser tabs that are open in your current workspace. This way, you can immerse yourself in a single project without getting distracted.
  • If you close a workspace, your tabs will be autosaved and closed. When you open the workspace next time, your previous tabs will be restored exactly as you left them. This makes it easy to pause a project and return to it later.
  • When you’re ready to work on something else, simply switch workspaces and your tabs will switch, too. If your job requires frequent context switching, workspace switching will help you stay focused and feel more in control of your workday.
  • If you’d like a tab to persist when you switch workspaces, try using the browser feature of pinned tabs (right-click the tab and click Pin Tab).
Tab management is a per-user preference
You can share workspaces with people who don't use the Tab Manager. They will be able to access all of the shared content (resources, notes, and tasks) just like a Google Drive or Dropbox folder — no extension required.

Enable tab management

  1. Open Workona.
  2. Click the Settings button (gear icon) at the bottom of the sidebar or click this link.
  3. Click Tab Management in the settings sidebar.
  4. Click the switch in the top-right of the settings page to enable tab management.
  5. Click the Done button.
Tabs are always private
Tabs are 100% private, and your project collaborators will never see them. Save tabs as resources to share them.

Close a workspace

  1. Open Workona.
  2. In the sidebar, click the x button to the right of the workspace's name.
  3. Reopening the workspace will restore your tabs exactly as you left them.
Shortcut
With the Tab Manager extension installed, set up the close workspace shortcut, OPTION-W (ALT-W on Windows), to close your current workspace instantly from any tab.

Open a workspace

  1. Open Workona.
  2. Click on the workspace in the sidebar.
  3. The workspace you clicked on will open in your current window by default. Click on your previous workspace in the sidebar to switch back to your previous tabs.
  4. To open in a separate window, click on the workspace in the sidebar while holding the CMD key (CTRL on Windows). Or enable Open workspaces in separate windows in Tab Management settings.

For a link that grants collaborators access to the workspace, click SHARE, copy the link, then paste it into Slack, calendar events, your team wiki, or anywhere else.

Switch between workspaces

  1. Open a workspace. Notice the workspace tabs appear.
  2. Click on a different workspace in the sidebar. Notice the previous workspace's tabs have been temporarily hidden for you, and the new workspace's tabs now appear.
  3. Switching back to the first workspace will switch back to that workspace's tabs. Notice the tabs don't need to reload and are exactly as you left them. This is because they were simply hidden, rather than closed.
Shortcut
With the Tab Manager extension installed, use the shortcut OPTION-A (ALT-A on Windows), to toggle between your open workspaces instantly from anywhere in the browser.

Start a new temporary browsing session

  1. Open Workona.
  2. Click the + button at the top of the sidebar.
  3. Click New browsing session.
  4. You will be put on a new tab within a new unsaved workspace so you can immediately begin your temporary browsing session.
Save workspace
You can save a temporary session (or any other unsaved browser window) by opening workona.com in the browser window, then typing a workspace name in the 'Unsaved' field.
Better than ⌘N
With the Tab Manager extension installed, set up the new workspace shortcut, OPTION-N (ALT-N on Windows), to create a new temporary session instantly from anywhere in the browser. Use this shortcut instead of creating new windows.

View & manage tabs

  1. Open a workspace.
  2. Click Tabs under the workspace title in the header.
  3. As you open tabs, they will appear in the Tabs view.
  4. Manage the tabs using the buttons that appear when you hover over the tab (in Workona).

Save tabs as resources

  1. Open a workspace.
  2. Click Tabs under the workspace title in the header.
  3. Click the Save button on a tab (in Workona's interface).
Shortcut
When tabs are selected, you can press the D key to save them as resources.

Save your current tab as a resource

  1. Add the Tab Manager extension to your browser.
  2. Go to the tab that you want to save as a resource (in your browser's tab bar).
  3. Click on the blue Tab Manager extension button (bookmark icon) to the right of the URL bar. If you don't see it, you may need to pin the extension (Chrome only).
  4. Your current workspace will be selected by default. Optionally select a different workspace in the Workspace dropdown.
  5. Optionally select a different resource section to save the resource in.
  6. Click Save resource.
Save a resource without leaving your keyboard
Use the shortcut OPTION + D (ALT + T on Windows) to open the extension, then press the RETURN key (ENTER key on Windows).

Move tabs to a different workspace

  1. Open a workspace.
  2. Click Tabs under the workspace title in the header.
  3. Click the Move button on an open tab to move to another workspace.
  4. You can also simply drag and drop the tab into another workspace to move it, or drop it on the blue dropzone that appears at the top of the sidebar to move it into a new workspace.
Shortcut
When tabs are selected, you can press the ▶ (right arrow) key to move them.

Move your current tab to different workspace

  1. Add the Tab Manager extension to your browser.
  2. Go to the tab that you want to move (in your browser's tab bar).
  3. Click on the blue Tab Manager extension button (bookmark icon) to the right of the URL bar. If you don't see it, you may need to pin the extension (Chrome only).
  4. Select a different workspace in the Workspace dropdown.
  5. Click Move tab.
Move a tab without leaving your keyboard
Use the shortcut OPTION + D (ALT + D on Windows) to open the extension. Immediately start typing a workspace name, then press the RETURN key twice (ENTER key on Windows).

Close tabs

  1. Open a workspace.
  2. Click Tabs under the workspace title in the header.
  3. Click the x button on a tab (in Workona's interface).
Shortcut
When tabs are selected, you can press the DELETE key to close them.

Close duplicate tabs

  1. Open a workspace.
  2. Click Tabs under the workspace title in the header.
  3. Click the button to the upper-right of the Tabs section.
  4. Click Close duplicate tabs.

Send tabs to coworkers

  1. Open a workspace.
  2. Click Tabs under the workspace title in the header.
  3. Click the Send button to send a link via email or Slack.
Shortcut
When tabs are selected, you can press the C key to send them to coworkers.

Multiselect tabs

  1. Open a workspace.
  2. Click Tabs under the workspace title in the header.
  3. Hold down the SHIFT key, then click a tab (in Workona) to enter multiselect mode.
  4. Release the SHIFT key, then select tabs using the checkboxes that appear.
  5. Use the buttons that appear at the top of the Tabs section to manage the selected tabs, or drag the tabs to move them.
Tip: Once in multiselect mode, you can use SHIFT or CMD (CTRL on Windows) as you normally would in your operating system.

Suspend tabs

With tab suspension enabled, your browser will use less memory so it can run faster. Suspended tabs look just like normal tabs, except they don’t use memory.

  1. Open Workona.
  2. Click the gear button at the bottom of the sidebar or click this link.
  3. Click Tab suspension.
  4. Make sure the switch in the top-right of the settings page is on.
  5. Select the tab suspension features you want.
  6. Click the Save button.
Computer feeling bogged down?
To suspend all tabs in your browser, click the ⋮ that appears to the upper-right of where the tabs appear (in the Tabs view), then click 'Suspend all tabs' to instantly free up memory.

Sort tabs alphabetically or by domain

  1. Open a workspace.
  2. Click Tabs under the workspace title in the header.
  3. Click the button to the upper-right of the Tabs section.
  4. Click Sort alphabetically or Sort by domain.

Restore recent tabs

With tab management enabled, you can close workspaces without worrying about losing your place. Workona remembers your recent tabs and gives you the ability to instantly restore them.

  1. Open a workspace.

  2. Your most recent tab session in the workspace will automatically open.

  3. If you want to restore an older session, click the button that appears to the right of the workspace name in the sidebar. Note: Free accounts can't restore older sessions, but will automatically restore the most recent session.

    • Use the « button to see older tab sessions. Workona records unlimited sessions per workspace, and creates backup snapshots for each hour of active work.
    • Click Restore tabs to restore the entire session, or click tabs individually to only restore certain tabs.

Sync tabs across computers or browsers

With tab management enabled, your most recent tab session within a workspace is accessible from any device. This keeps your work organized, no matter how many devices you use.

  1. Open a workspace.
  2. Your most recent tab session from any device (or other browser) will open automatically.
  3. If you have the same workspace open on multiple computers simultaneously, you’ll see Changes from your other computer appear. Click Apply changes to merge sessions (workspaces only have one primary session). Uncheck the box next to any change you don’t want to apply, or click Ignore to discard all changes.

How hidden tabs work

  1. With tab management enabled and the Open workspaces in the current window setting enabled, Workona moves your inactive tabs into a hidden browser window to temporarily hide them for you.
  2. The window is minimized and shouldn’t get in your way. If you find yourself in the hidden tabs window, simply minimize it and return to your work.
  3. This window is safe to close at any time (Workona will keep track of your open tabs for you). The only consequence will be that the tabs will need to be loaded again next time you click on them.
  4. If the hidden window bothers you, you can either change your settings to Open workspaces in new windows, or simply uncheck the box next to the Hide the previous tabs in a minimized window setting.
